  1. BRIEF OF JOB SUMMARY (Basic Functions): Managing day to day calendar of the Managing Director.
  1. PRIMARY DUTIES AND RESPONSIBILITIES:
  • Diary Management - Day to day basis maintaining calendar, organising and managing meeting and appointments, arrange conference calls.
  • Business Communication – Self correspondence related to incoming/outgoing emails with efficient follow ups often corresponding on behalf of CEO.
  • Presentations - Preparation of PowerPoint presentations for meetings.
  • Telephone - screening telephone calls, enquiries and requests appropriately.
  • Meetings – Ensure agendas are prepared for each meeting, Circulating agenda / meeting packs for meetings in advance and taking and distribute minutes and follow up to closure.
  • Travel Arrangements - Arranging flights, Limo service and accommodation for MD’s travel.
  • Visitor Management – Co-ordinating travel/accommodation arrangements, meeting and greeting visitors at all levels of seniority.
  • Research - Carrying out background research on company’s interested topics and providing statistical findings as and when required.
  • Data Management - Maintaining database of regional organisations, documents, briefing papers, reports and presentations.
  • Expense Claim - On time settlements of official expense statements as per company policy.
  • Administrative follow-up – Efficient follow ups on behalf of MD with offices across the globe.
  • Events – Handling exhibitions and major conferences.
  • Driver’s Schedule – Managing Driver’s schedule to fit Managing Director’s requirements.
  • Corporate Decorum/Culture Establishment and Maintenance: Be a torch-bearer of the values important to the management, and ensure the proper decorum and corporate culture is maintained and relayed in the office in or in absence of MD. Ensure Office and showroom are maintained to the standard of hygiene and orderliness expected by the Management.
  • Database and Relations Management: Manage Multiple Databases of MD – classify them as per order of importance- ensure greetings, wishes and pleasantries are sent across to the relevant database based on the requirements.
  • Doc Management: Prepare and Maintain a SOLID DOC MANAGEMENT SYSTEM for Non Core projects- both electronic and hardcopy.
  • Communication: Draft on behalf of MD, when required, all formal correspondence from CMO- Letters, Broadcast Emails, Thoughts for Publications/ PR- get approval and submit
  • IT Management for MD: Ensure all Telephone, Computer and other Digital Data is backed up, secured at all times.

 

  1. OCCASIONAL DUTIES:
  • Managing the meetings with the clients in the absence of MD

Responsibilities:

  1. Coordinate with QA/QC Manager, prepare the Project Quality Plan and circulate to the Consultant, Main Contractor and Internal Site team.
  2. Prepare the Material Submittal Schedule and ensure Material Samples/Technical Documents are submitted to the Consultant/Main Contractor as per the planned schedule by coordinating with other departments & Sub-Contractors.
  3. Review all Technical Details of received samples/documents with reference to Project Specifications prior to submission to the Client/MC/Consultant.
  4. Prepare Method Statements & ITPs as per the Project Specifications and Submit to the Main Contractor/Consultant. Ensure site works are executed as per the approved Method Statement.
  5. Coordinate with Execution team with all related QA/QC Matters.
  6. To do the all incoming material inspections before issuing for execution and ensure received materials are matching with the approved samples.
  7. To do inspections during execution (Process Checks) and coordinate with Project Engineer/Site Engineer for noncompliance observed and verification of the corrective actions as required.
  8. To do all internal check for all executed works in daily basis and confirm the compliance of the same and forward the IRs to the Consultant/Main Contractor  for approval.
  9. Liaise with Main Contractor/Consultant for MIRs & IRS.
  10. To raise Internal NCRs for the non-complying activities.
  11. Prepare Quality Reports for all MIRS & WIRS
  12. Prepare the Snag & De-snag reports
  13. Coordinate with QA/QC Manager and prepare the O&M Manual and submit to the Main Contractor/Consultant

  18. Provide advice, guidance and training on QHSE matters across the organization.
  19. Responsibility for coordinating with all the Departments and generating & implementing the QHSE Objectives.
  20. Plan QHSE activities on a short and long-term basis taking into consideration company objectives, client’s requirements, project needs.
  21. Evaluation of company's existing practices, processes and procedures with respect to ISO 9001, 18001 and 14001 Standards & identification of existing gaps.
  22. Management systems certification against international standards for the existing certifications and for new according to company requirements.
  23. Participate in investigations of QHSE incidents, follow up and verify that corrective actions are effective.
  24. Initiation of new or improved practices, processes and procedures.
  25. Scheduling and execution of Internal Audit Programs.
  26. Initiation of corrective action in the event of system non-conformance.
  27. Development and implementation of techniques for evaluating the effectiveness of the company's QHSE systems.

Experience:
